Job Description:

We are seeking a motivated sales Admin Intern to join our Sales Department .In this role you will be responsible for supporting  Uzima sales functions in all administrative activities, such as organizing order collection and order submission, serving as point of contact for sales team inquiries, and giving updates to the sales team daily concerning dispatch lists.You will collaborate closely with Finance and Operations Departments.

The sales admin  position demands a high level of professionalism, commitment and motivation, as well as great communication and interpersonal skills

 

Key Responsibilities:

  • Creating sales quotes of orders from the sales team using Uzima’s order collection process daily; liaise with the Finance team to confirm payment for orders on chicks and feed in a timely and accurate manner.
  • Organizing dispatch list in line with the waiting period of 2-3 weeks, based on guidelines such as first come first serve and route plan
  • Timely submission of orders to operations to ensure timely organization of dispatch
  • Contact clients to obtain missing information concerning their orders
  • Improving Sales order process Via sales team Relations with Guidance from the Supervisor.
  • Follow up on agent compensations
  • Share relevant reporting with sales teams, such as pipeline status and order status
  • Sales team campaigns & programs – e.g.,, motorcycle loans, expos and events, swag
  • Supporting onboarding and offboarding activities related to District Sales Reps
  • Adopting all company tools related to order processing and sales dashboard
  • Weekly RSM and ASMs mileage report
  • Follow up payment transfers
  • Gathering data on all agent meetings across the country and entering it into the system and evaluating the impact of these meetings.
  • Any other activity assigned by the supervisor.

Requirement Qualifications:

  • Excellent communication skills, both verbal and written, with the ability to engage with the sales team in a friendly and professional manner

Key Responsibilities

Costing & Inventory Management

  • Oversee the inventory and costing procedures related to accurately tracking COGS and managing company inventory; includes responsibility for running production reports in DEAR, collecting and filing documentation related to inventory, and producing monthly reports on key cost areas.
  • Conduct inventory reserve analysis (summarizing spoilt or damaged goods) on a quarterly basis and generate reports and submit them to the Cost accountant for Review.
  • Conduct random inventory checks and ensure accuracy in inventory reports
  • Plan and record variable costs such as purchases of raw material and operations costs.
  • Take lead on Feed mill, Breeder Farm, Hatchery, Depots and other stores weekly and monthly stock counts and reconciliations.
  • Work with Production leadership to review production costs on a weekly and monthly basis, identifying opportunities for cost-savings or controls.
  • Maintain and review the general ledger and reconcile balance sheet inventory items on a Monthly basis
  • Analyze costs of raw materials and other supplies and create cost-benefit analysis for changing vendors.
  • Assisting in month-end and year-end closing by preparing production cost reports
  • Take a Think Like an Owner attitude to inventory management, cost controls, reporting by providing proactive solutions and recommendations for constant improvement
  • Work with a finance Manager and Cost Accountant to build cost tracking systems in accounting software.
  • Oversee activities of Store Keepers of different sites to ensure accurate maintenance of records and adherence to controls.

 

Reporting

  • Produce monthly Breeder Farm, Feed mill and Hatchery production cost report for management
  • Produce weekly and monthly DOC and Feed reconciliation reports to the management.
  • Produce weekly and monthly inventory reconciliation reports for management

 

External Stakeholder Management

  • Support in providing information to external auditors during annual audits

 

Other tasks

  • Support the Cost accountant during month end reporting (petty cash reconciliation, stock takes, production cost reports, etc)
  • Carry out weekly and monthly Stock take at different production sites
  • Be the custodian of inventory record books (Stock cards, dispatch notes, Goods received notes, Goods transfer notes, etc) and ensure their availability at all stock locations
  • Carry out any other activities as assigned from time to time

 

Required Qualifications & Experience:

  • Education:Degree in Accounting, Finance, or related field.
  • Experience: Minimum 2-4 years of hands-on costing

Job Description:

We are seeking a motivated Technical Veterinary Services Manager – Sales working closely with the National Sales Manager, Managing Director, and suppliers. Technical Vet Sales is responsible for overseeing commercial stock performance with customers. He/she will specifically focus on disease surveillance and controls, biosecurity measures, overall commercial chick managements, sampling laboratory specimens, vaccination protocols, diagnostic techniques and communicating with the field team. It will also require training the field team to build their capacity and knowledge with current practices of vaccination and other technical aspects.

Key Responsibilities:

  • Oversee all technical and veterinary aspects of the commercial chicken performance.
  • Implement disease surveillance and control protocols, including ongoing regular flock monitoring and sampling.
  • Conduct traceability during High mortality in customers and set corrective action
  • Regular DOC, Feed and other delivery drivers training and Evaluations Group Chief Technical Officer, external vet consultant
  • Develop, distribute and implement veterinary-related Standard Operating Procedures (SOPs) and veterinary control documents in all field teams.
  • Develop clear veterinary quality control systems including chicks, vaccine and medicine transport, storage, preparation and application.
  • Monitor and revise vaccination schedule and protocols to provide strong and economical resistance to disease threats of commercial flocks, with consultation with the Company vet
  • Ensure the mortality rate in brooding, rearing, and production is within customer standards and not far from breeder standards.
  • Improving customer performance and responding to customer issues in coordination with the field team
  • Coordinate with the feed mill team on feed quality monitoring and getting disease-free feed for customers (including quality of raw materials), and provide feedback
  • Establish and improve standard operating procedures and processes by addressing issues and risks of customers
  • Ensure that environmental requirements are met at the federal, state, and local government levels at our customers’ houses.
  • Train the field team in the best veterinary practice standards and veterinary control documents. This includes translating and distributing the materials.
  • Train field team and extension workers on disease diagnosis, biosecurity, treatment, including postmortem and ante mortem training.
  • Make sure all the postmortems done by the sales teams/ extension workers are collected and compiled, and reported to the production director
  • Provide regular reports to the Production Director on flock performance, health status, and biosecurity monitoring at customers
  • Report any findings in lab results, like clinical or subclinical evidence of diseases, after receiving every lab test (blood sample results or any other microbiological lab results with actions going forward
  • Provide weekly and monthly flock performance reports, including comments that should include details on flock health, disease surveillance, vaccinations, and medicines/vitamins administered (in quantity and value).
  • Conducting audits of commercial chickens on management, vaccination, and surrounding environments to support quality controls.
  • Coordinate Sample taking, analysis periodically and interpretation of the results to be communicated to the Production Director or the relevant team.
  • Develop a training plan for self and the team on relevant fields of practice.
  • Develop clear and realistic goals and direction for the field team with emphasis on work culture, ethics and success.
  • Ensure duties deemed necessary by direct reports are completed on time in consultation with the Production Director.

Key KPIs:

  • Customer satisfaction with technical service >95% for both feed and DOC
  • First week Mortality <2%

Requirement Qualifications:

  • Degree in Veterinary Science, Animal Science and related fields.

Competence

  • Ability to communicate fluently both in written and spoken English
  • Basic computer skills, especially MS Office skills (Moderate to high proficiency in Excel will be an added value)
  • Highly committed personality
  • Priority will be given to the longest-serving individual with a good reputation and proven consistent performance.
  • Prior knowledge of budget making and implementation will be mandatory.

Experience

  • Served in any sales position or equivalent position for a minimum of 8 years in either production or sales departments.

Request for Proposal (RFP) 

For Structural Engineering Review and Audit of Uzima Chicken Uganda Operational Sites 

Company Overview 

Uzima Chicken Uganda is a poultry business dedicated to improving the health and wealth of smallholder farmers. Our mission is to distribute an improved breed of chicken that is four times more productive than local breeds, thereby significantly boosting egg and meat production. Despite its enhanced productivity, our breed requires the same level of management and care as local chickens. By raising a flock of 10 improved breed chickens, smallholder families can enjoy a net profit uplift of up to 500,000 UGX. This increase in income empowers rural households to afford essentials such as their children’s school fees and introduces greater volumes of animal protein into their diets. 

Uzima Chicken aims to reach every rural household in Uganda by 2025 and aspires to become the leading poultry enterprise focused on smallholders in East Africa. Last year, we engaged over 110,000 smallholder farmers across 80+ districts of Uganda. 

1. PROJECT CONTEXT

Uzima Chicken, whose head offices are located on Plot 21, Lower Naguru east Road,Kampala Uganda, invites proposals from qualified and experienced structural engineers or engineering firms to conduct a comprehensive structural review and audit of existing facilities across its farm sites.

The primary objective of this assignment is to assess the integrity, safety, and reliability of key structural components, with particular emphasis on: 

● The overall structural integrity of all farm buildings and facilities; 

Roof structures of poultry houses; and 

Structural stability of elevated water tank platforms. 

The audit will cover three (3) operational sites located in two (2) different regions. The exercise aims to identify potential structural risks and provide actionable recommendations to strengthen the safety, efficiency, and sustainability of Uzima Chicken’s farm operations.

Farm

Located in Kyankwanzi District along Kampala – Hoima Road approximately 165km from kampala and/or 35km from Kiboga Town
2 Katugo Breeder Farm Located in Nakasongola District along Kampala – Gulu Highway approximately 100km from Kampala and/or 35km from Luwero Town
3 Buruli Breeder Farm Located In Nakasongola District along Kampala – Gulu highway approximately 90km from kampala and/or 25km from Luwero Town.

Each site has standard ancillary buildings (office, residence, egg store, wood shavings store, generator house, and shower block), with Katugo having 5 poultry houses of 996 m² each, Buruli 5 poultry houses of 1,620 m² each, and Kyankwanzi 3 poultry houses of 1,620 m² each. 

2. SCOPE OF SERVICE

The selected Structural Engineer/ Engineering firm will be expected but are not limited to:

Conduct comprehensive structural inspections and audits across all three (3) farm sites. 

Assess the condition, strength, and durability of poultry house roofs, identifying any structural weaknesses or risks, including load-bearing elements and materials. 

Evaluate the structural integrity of elevated water tank platforms, including foundations, support systems, and material soundness. 

Identify structural deficiencies that may pose safety hazards, operational risks, or financial liabilities. 

Consider environmental factors, such as weather impacts and the age of structures, in the assessment. 

Provide practical recommendations for remediation, reinforcement, or preventive maintenance. 

Deliver a consolidated risk analysis, with clear prioritization of findings (critical, moderate, low). 

All reviews and recommendations should be based on the Ugandan building code as well as the relevant construction rules and regulations. 

3. DELIVERABLES

The selected Structural Engineer / Engineering Firm will be expected to provide the following:

Detailed audit reports for each site, outlining findings, identified risks, site-specific recommendations, and associated cost estimates 

A consolidated summary report covering all sites, including an executive summary for management. 

A comprehensive risk assessment, detailing the likelihood, severity, and recommended mitigation measures for each identified risk. 

Practical guidance on preventive maintenance and strategies to enhance long-term structural resilience. 

Visual documentation of structural conditions, including photos, diagrams, and any relevant sketches or schematics. 

4. PROPOSAL SUBMISSION REQUIREMENTS

Interested firms are invited to submit a comprehensive proposal that includes the following:

Qualifications of the firm or team – Evidence of a structural engineer, engineering firm, or architect with appropriate local qualifications to conduct this type of study. 

Company profile and experience – Relevant experience in conducting structural engineering audits, particularly in agricultural or industrial facilities. ● Legal and compliance documents – Valid Trade License (current fiscal year), TIN and VAT Registration Certificates, and Supplier Registration Certificate (if applicable). 

Proposed methodology and approach – A clear description of how the firm intends to execute the assignment. 

Work plan and schedule – Estimated timelines for completion of the audit and reporting. 

Key personnel profiles – Qualifications and experience of the staff to be assigned to the project. 

Financial proposal – Detailed breakdown of professional fees, travel, and any other related costs. 

References – At least two references from previous clients with similar project experience. 

5. EVALUATION CRITERIA

Proposals will be assessed based on the following:

Relevant experience and technical expertise – 15% 

○ Demonstrated experience in structural engineering audits, particularly in agricultural or industrial facilities. 

Soundness of methodology and approach – 25% 

○ Methodology will be evaluated based on practicality, accuracy, and adherence to safety and regulatory standards. 

Qualifications and experience of proposed personnel – 20% 

○ Competence and relevant experience of key personnel assigned to the project. 

Proposed work plan and timeline 15% 

○ Feasibility and realism of the proposed schedule for completing the assignment. 

Competitiveness and clarity of financial proposal – 25% 

○ Transparency, reasonableness, and completeness of costs.

○ Unit price per site and total price (including VAT and delivery costs). ○ Proposed payment terms.

Job Description: 

We are seeking a motivated Dispatch Officer to join our Operations Department. In this role, you will coordinate day-old chick deliveries, ensuring proper preparation of delivery lists and documentation, and providing real-time updates during dispatch. The role supports smooth customer deliveries, manages driver conduct during dispatch, and enhances post-delivery reporting to improve service quality. You will collaborate closely with all other departments.

Key Responsibilities:

  1. Dispatch Coordination (60%)
  • Prepare delivery lists from agents cleared and fully paid by Sales Admins
  • Share delivery routes and schedules with drivers, ensuring they follow the planned sequence of drop-offs.
  • Coordinate with the hatchery team for proper loading and documentation.
  • Ensure proper hand-off of delivery documents such as vaccination charts, invoices and acknowledgement forms.
  • Monitor dispatch progress and address incidents that may delay or disrupt delivery.
  1. DOC Delivery (30%)
  • Follow up with drivers to confirm timely and safe delivery of DOCs to agents.
  • Provide real-time updates to stakeholders (Sales, Finance, Operations) during deliveries.
  • Collect and verify signed delivery documents from drivers and update order fulfillment records.
  • Prepare post-delivery reports, highlighting exceptions and suggesting improvements.
  • Liaise with Regional Sales Managers to confirm delivery outcomes and customer satisfaction.
  1. Delivery drivers Management (10%)
  • Train drivers on DOC handling and customer care standards using Uzima’s training guidelines.
  • Supervise driver behavior during deliveries to ensure respectful customer service.
  • Support drivers in resolving on-route delivery challenges.
  • Provide feedback on driver performance to guide training needs.

Key KPIs:

  • Optimise DOC delivery cost
  • Maintain a 95% driver compliance rate with Uzima protocols, measured through audits and quality checks.
  • Maintain 95% customer satisfaction rate across dispatch operations.
  • Ensure 95%+ of clients experience less than 2% first-week mortality for DOCs delivered.

Requirement Qualifications:

  • Bachelor’s degree in Logistics, Supply Chain Management, Agribusiness, Business Administration, or a related field.
  • At least 2 years of experience in logistics, distribution, or agricultural supply chains. (poultry experience is an added advantage).
  • Strong understanding of last-mile delivery operations and customer service principles.
  • Ability to work with delivery route planning tools, GPS tracking systems, and MS Office (Excel, Word, PowerPoint).
  • Excellent communication and coordination skills to engage with drivers, agents, and cross-functional teams.
  • Strong problem-solving and decision-making skills, especially in time-sensitive situations.
  • Ability to supervise, train, and enforce compliance among drivers.
  • High level of integrity, attention to detail, and commitment to quality service delivery.
  • Willingness to work flexible hours, including early mornings, weekends, or public holidays depending on dispatch schedules.
